Our Privacy Notice — Enquiries and Business Contacts
Who we are
Kenz Automations ("we") provides website, review and enquiry-management services to service businesses, with a current focus on the East of England.
Contact: [email protected]
We are the data controller for the information described in this notice.
What this notice covers
How we handle the details of business owners and staff who enquire about our services, and business contacts we approach. If you are a customer who has enquired through one of our clients' websites, adverts or phone numbers, their separate notice applies to that enquiry.
What we collect
- When you use our website form, email us or book a call: your name, email address, any phone number, business details, service interest or questions you provide, and our subsequent correspondence
- If you choose to send a plan finder enquiry: your name, phone number, questionnaire answers about your business and current processes, any monthly amount you enter, the suggested next step and optional questions
- If you choose to send an agency coaching enquiry: your name and email, any optional phone number or website, your agency stage, operating duration and paying-client count where relevant, team, tools and AI experience, your intended business direction, any personal income goal and timeframe, the topics and outcomes you want help with, and your preferred support format
- Business name, address and telephone number
- The name and job role of the owner or a named director
- Publicly listed business email addresses
- Information about the business — services offered, showroom, reviews, whether it currently advertises
- A record of our contact with you and your response
We do not ask you for special category data. The plan finder gives an automated, provisional suggestion from the answers in your browser. It does not agree a service, price or eligibility on our behalf, or make decisions with legal or similarly significant effects.
Where we get it
Directly from you when you use our website form, email us, book a call or contact us. For prospecting, we also use publicly available sources:
- Companies House
- Google Maps and Google Business Profiles
- Your own website and social media pages
- Meta Ad Library
- Trade directories and industry listings
We do not buy contact lists.
Why we use it
To respond to your enquiries, discuss the service you are interested in and arrange a call if you wish. Submitting an enquiry does not subscribe you to a marketing mailing list. We also contact businesses about website, review and enquiry-management services we think may be relevant to them.
Our lawful basis
Legitimate interests — specifically, our interest in marketing our services to businesses likely to benefit from them, and responding to business enquiries, balanced against your rights and expectations as a business contact.
We document the purpose, necessity and impact of our business-contact processing. You can ask about this and object to direct marketing at [email protected].
Who we share it with
Nobody, other than the service providers we use to run our own business — currently Cloudflare (website form, security check and email delivery), Microsoft 365 (email), Cal.com (call booking) and GoHighLevel (our CRM and messaging system). They process the information needed to provide those services under their applicable terms.
We do not sell or share business contact data for anyone else's marketing.
Where your information is processed
We use cloud services to store email, arrange calls and manage business contacts. Your information may be processed outside the UK, including in the United States.
Cloudflare, Microsoft and HighLevel publish data-protection terms describing their international transfer arrangements, including contractual safeguards. Cal.com describes its booking-data transfers and safeguards in its privacy policy. You can read Cloudflare’s data-processing addendum, Microsoft’s data-protection terms, HighLevel’s data-processing agreement and Cal.com’s privacy policy.
If you use our website enquiry form, Cloudflare processes the submission and its Turnstile security check, then sends the enquiry to our Microsoft 365 mailbox. See Cloudflare’s privacy policy. Plan finder answers stay in your browser tab unless you choose to send them with your name and phone number. That enquiry route uses Cloudflare and its Turnstile security check, sends the details to HighLevel for the contact record and owner alert, and sends a backup to our Microsoft 365 mailbox. It does not subscribe you to marketing. Direct email also reaches our Microsoft 365 mailbox. If you book a call, Cal.com handles the booking details; see Cal.com’s privacy policy. You can contact [email protected] about how your enquiry is handled.
Coaching questionnaire answers stay in your browser tab until you choose to send them with your name and email. Context and income questions are optional. The enquiry route uses Cloudflare and its Turnstile security check, HighLevel for the contact record, full enquiry note and owner alert, and our Microsoft 365 mailbox for an email copy. We use the answers to understand your request before a conversation; they do not produce an automated score or eligibility decision, book or buy coaching, or subscribe you to marketing. Your income and timeframe are goals you provide, not promised results. Please avoid sharing sensitive personal information in free-text answers.
How long we keep it
- If you become a client: for the duration of the relationship plus 6 years, for tax and contractual records
- If you tell us you're not interested: we keep the minimum needed — your business name, email address and number as applicable — on a suppression list, permanently, so that we don't contact you again
- Otherwise: up to 24 months from our last contact, then deleted
Your rights
You can ask us to:
- Give you a copy of the information we hold about you
- Correct anything inaccurate
- Delete it
- Restrict how we use it
- Provide it in a portable format
You have an absolute right to object to direct marketing. If you tell us to stop, we will stop immediately and add you to our suppression list.
Email [email protected] and we will respond within one month.
Complaints
If you're unhappy with how we've handled your data, please tell us first at [email protected]. You also have the right to complain to the Information Commissioner's Office: ico.org.uk · 0303 123 1113.
